1. Scope — what this covers
This policy covers apex-reporter.com (the marketing website, the hosted live demo, and the trial-download flow) and our direct communications with you (sales, support, license issuance). It does not cover data inside a self-hosted ApexReporter Studio installation you run on your own server — that data is yours, governed by your own policies, and never transmitted to us. See Security Policy for how the product itself is architected.
2. What we collect
- Contact form / "Request Access" submissions — name, email, company, and whatever you write in the message. Stored so we can reply and follow up on sales inquiries.
- Trial registration, where required — name, email, and company, so we know who is evaluating the product and can follow up about moving to a paid plan.
- Purchase & billing information — billing name/address and payment details, collected either directly by us for invoiced/manual purchases or by our payment processor for card payments (we do not store full card numbers ourselves).
- License & support records — which plan you're on, your activation key's issuance/expiry dates, and any support correspondence, so we can help you and track renewals.
- Basic website analytics — standard server/traffic logs (pages visited, referring site, approximate location from IP, browser type). See Cookies & analytics.
3. What we never see
Once installed, ApexReporter Studio runs entirely on your own Windows or Linux server and connects directly to your own Oracle (or Postgres/MySQL) instance. Your report definitions, your query results, your Oracle credentials, your users' data, and anything you generate or export from the application stay on your server. None of it is transmitted to us, ever, as part of normal product operation — there is no phone-home, telemetry, or usage-reporting built into the runtime.
4. How we use it
- Responding to inquiries and providing sales/technical support.
- Processing purchases, issuing activation keys, and managing renewals.
- Sending license-related communications (key delivery, expiry/renewal notices) and, only if you've separately agreed to it, occasional product updates.
- Understanding aggregate website traffic to improve the site and documentation.
- Complying with legal obligations (e.g., tax/invoicing records).
We do not sell your personal information, and we do not use it to train any third-party AI model.
5. Sharing & processors
We share information only with the service providers needed to run the business — for example, a payment processor to handle card payments, an email provider to send correspondence, and standard web-hosting infrastructure. We do not share your information with third parties for their own marketing purposes. We may disclose information if legally required to (e.g., in response to a valid legal request).
6. Retention
We keep contact and license records for as long as needed to support your license and meet our own legal/accounting obligations (typically for the life of the license plus the period required for tax records), then delete or anonymize them. You can ask us to delete contact information that isn't tied to an active license or legal requirement at any time — see Contact.
7. Your rights
Depending on where you're located, you may have rights to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these, contact us using the details below — we'll respond within a reasonable time and in line with applicable law (for example, GDPR for individuals in the EU/UK, or other local data-protection law that applies to you).
8. Security
We use reasonable technical and organizational measures to protect the information described above (e.g., encrypted connections, access controls on our own systems). No online system is 100% secure, but — worth repeating — the vast majority of what most people think of as "their data" in ApexReporter Studio never reaches us in the first place, because the product is self-hosted. For the product's own security architecture (encryption at rest for saved connection passwords, license-key cryptography, etc.), see the Security Policy.
9. Cookies & analytics
The marketing site uses minimal, functional storage (e.g., remembering your light/dark theme preference in your browser's local storage — this never leaves your device) and may use standard, privacy-respecting traffic analytics to understand aggregate visits. We don't run cross-site advertising trackers.
10. Children's privacy
ApexReporter Studio is business software and this site is not directed at children. We do not knowingly collect personal information from anyone under 16.
11. Changes to this policy
We may update this policy as the product or business changes. Material changes will be reflected by updating the "Last updated" date above; continued use of the site or the product after a change constitutes acceptance of the revised policy.
12. Contact
